What you're working with
LIFT FIT sells on Shopify. The till is the Shopify POS app running on an iPad at the counter. Everything you ring up hits the same system as lift.fit online — same products, same stock, same customers. Sell a vest in store and the online stock count drops within seconds.
The four things that matter on day one
- Your PIN is you. Every sale, discount, void and refund is logged against the PIN that was used. Never share it, never let someone ring up on your PIN.
- Stock is live. What you sell, return or restock changes what the website says is available. Sloppy returns create phantom stock.
- Lock the screen when you step away. One tap. It takes a second and it protects you.
- Never delete the POS app. If it misbehaves, force-close it or ask a manager. Deleting it wipes saved carts, open register sessions and the logs Shopify support needs.
Device requirement: Shopify POS needs iPadOS 15.1 or higher and the app must be updated at least every 180 days or it stops working. Leave automatic updates switched on.
Getting into the till
There are two levels of login. A manager signs the iPad into the store with an email and password — that only happens once, or after a device reset. After that, everyone else gets in with a 4 to 6 digit PIN from the lock screen.
- Wake the iPad. Shopify POS shows the PIN pad.
- Tap your name if a staff list is shown, then key in your PIN.
- You land on the smart grid — the POS home screen. You're now trading as you.
Five wrong tries and the pad locks for 30 seconds. Slow down rather than guessing. If you've genuinely forgotten it, a manager resets it in the Shopify admin — nobody can look up your existing PIN.
Tap the lock screen icon in Shopify POS. That returns the iPad to the PIN pad without logging the device out of the store. Do this every time you leave the counter — a tea break, a fitting room run, a stockroom trip.
Locking is not logging out. The store stays signed in, so the next person just keys in their own PIN.
Before anyone can use a PIN, a user with Shopify admin access and the POS device setup permission has to sign the device in.
- On the POS login screen, tap Log in.
- Tap Log in manually.
- Enter the admin email address and password, then tap Log in.
- Enter the two-factor authentication code.
- Select the correct store and the correct location. Getting the location wrong means stock moves off the wrong shop.
- Tap the lock screen icon so staff can PIN in with their own profiles.
- Staff on site taps Log in on the POS login screen. A code appears.
- Staff reads the code to the manager.
- Manager opens accounts.shopify.com/activate, enters the code and clicks Next.
- Manager signs in with admin email and password, then confirms the login.
- Staff on site selects the correct store and location, then taps lock screen and PINs in as themselves.
Only staff with Point of Sale permissions can log the device out. In almost every situation you should lock rather than log out — logging out means the next shift needs a manager to sign back in.

Smart grid (home)
The tile wall you land on. Shortcuts to collections, discounts, custom sales, custom fees and apps. Swipe sideways for more tile pages.
Products
Search or browse everything stocked at this location. Tap a product, then a variant (size / colour) to drop it into the cart.
Cart
The current sale. Line items, quantities, discounts, the customer, notes and the Checkout button.
Select payment option
Appears after Checkout. Cash, card, gift card, store credit, split payment, or Mark unpaid.
Orders
Every order — in store and online. Start returns and exchanges here, reprint receipts, take outstanding payment.
Register
Cash drawer control. Open session, add or remove cash, close session, session history.
More
Settings, hardware, support, device info, log out.
Connectivity
Network status and Data synchronization — force a refresh of products, staff, locations and settings.
The smart grid is set from head office. Tiles are managed per location, so any device that logs into this store gets the same layout. If a tile you need is missing, ask a manager — don't rebuild the grid yourself unless you have the Customize smart grid permission.
The first ten minutes
Do these in order, every trading day. Getting the float and the sync right at open is what makes close of day painless.
- From Shopify POS, tap the Register icon.
- Tap Open session.
- In the Current amount in drawer field, enter the float you've physically counted into the drawer.
- Optional: add a note — use it to flag anything odd, e.g. "R50 short from previous session, reported to manager".
- Tap Done.
Rands aren't supported by the in-app cash counter. Shopify's tap-to-count tool only covers USD, CAD, DKK, GBP, NZD, AUD, SGD and EUR — so for ZAR you count the drawer by hand and key the total in. Count it twice.
Only one session can be open per device, and sessions live on the device they were created on. If you process a sale without opening a session, POS opens one automatically using the previous session's closing balance as the float.
- Tap the Connectivity icon.
- Tap Data synchronization. You'll see status for Device, Locations, Products & Inventory, Staff and Store Settings.
- Tap Refresh all, or Refresh under a single item.
Do this if prices changed overnight, a sale started, or new stock landed. It's the difference between charging the promo price and charging full whack.
The core loop
Build the cart. Add the customer. Take payment. Give the receipt. Everything else is a variation on those four beats.
- Tap the Products icon.
- Type the product name into the search bar, or scan the barcode with the scanner.
- Tap the product.
- Tap the variant — the size and colour. Check this twice. Wrong variant means wrong stock count and a return later.
Only products stocked at this location show in the products view. If something's on the floor but not in the list, it's a stock-assignment problem — flag it, don't work around it.
- Tap the item in the cart to open the action tray.
- Tap
−or+to change quantity. - Tap Remove to take it out of the cart.
- Tap Change variant if the customer swaps size before paying.
- From the smart grid, tap the Add custom sale tile.
- Enter the price.
- Optional: add a title and adjust quantity. Always write a title — "Custom sale R450" tells nobody anything three weeks later.
- Tap Add to cart.
Custom sales don't move stock. Use them only when a real product genuinely isn't in the system, and tell a manager so the product gets created properly.
- From the smart grid, tap the Custom fee tile.
- Review the amount and tap save.
To remove it, tap the Remove fee tile.
Only one custom fee per cart. If you need two, add them as a single combined amount. Note that cart discounts do apply to custom fees — use a line-item discount instead if you don't want the fee discounted.
- Tap the Add staff to sale tile on the smart grid.
- Select the staff member who made the sale.
Use this whenever someone else worked the floor and you're just ringing up. It's how sales get attributed properly.
If a customer needs to fetch something or a queue builds behind them, save the cart rather than losing it.
- Tap the more actions menu (⋯) on the cart.
- Save the cart. It appears under recent / saved carts.
- Another staff member can pick it up and finish it.
For something the customer will pay for later — a hold, a special order — create a draft order instead.
- Build the cart as normal.
- Tap the more actions menu (⋯) → Send cart.
- Enter the customer's email address. If a customer is already on the cart, their address pre-fills.
- Optional: add a short message.
- Tap Send.
Typing a different email address here doesn't change which customer is attached to the order.
Taking money off
There are two kinds of discount and they behave differently. Know which one you're reaching for.
- From the smart grid, tap the Apply discount tile.
- Tap Percentage, Amount, or Code.
- Fill in the fields and tap Save.
The cart total updates and the regular retail price shows under the subtotal, so the customer can see what they saved.
A percentage cart discount reduces every item in the cart by that percentage. Gift cards are excluded.
- Tap the item in the cart.
- To discount several items, tap each one — or tap an item then Select all.
- Tap Apply custom discount.
- Tap Percentage or Amount.
- Optional: use Price after discount if you've been given a final price to hit rather than a percentage.
- Enter the discount and tap Apply.
- Add the item to the cart.
- Tap the item.
- Tap the tax to remove it.
Do not do this on your own initiative. Removing VAT is only correct in specific documented cases. Get a manager before touching it.
Every manual discount is logged against your PIN. Voids, refunds, manual discounts and customer record access all appear in the POS activity log with your name on them. Stay inside the discount authority you've been given.
Taking the money
Tap Checkout on the cart and the Select payment option screen appears with whatever payment types are switched on for this store.
- Tap Checkout.
- On the Payment options screen, tap Cash. The exact order amount is filled in by default.
- If they're not paying exact: tap one of the suggested amounts, or tap the Cash field, type what you were handed, and tap Done.
- Tap Accept. POS calculates the change and tells you what to give back.
- Offer the receipt, then tap Done.
Count the change out loud into the customer's hand. It's the single easiest way to avoid a disputed float at close.
- Tap Checkout, then the card option.
- Present the reader to the customer. Let them tap, insert or swipe themselves.
- Wait for the approval on the POS screen — not just the reader.
- Offer the receipt, then tap Done.
If the reader isn't connected, POS prompts you to connect it. You can fall back to Manual card entry and key the card details in, but only do that when the reader is genuinely down.
- Tap Checkout.
- Select the first payment method and enter the amount going onto it.
- POS shows the remaining balance. Select the second method for the rest.
- Complete and issue the receipt.
Common cases: gift card plus card, store credit plus cash, or two cards.
Gift cards and store credit appear as payment methods on the Select payment option screen when they're active on the store. Scan or key in the gift card, or select store credit against the customer's profile — the customer must be added to the cart first for store credit to show.
Gift cards are excluded from percentage cart discounts.
Tapping Mark unpaid processes the order as a R0.00 payment so it can be paid later. You take the outstanding payment from the Orders screen when they come back.
Never mark an order unpaid to get a queue moving. Stock leaves the building against an unpaid order. Manager approval only.
At the end of a sale POS asks how the customer wants their receipt — print, email, or none.
To reprint a receipt later:
- Tap the Orders icon.
- Tap the order.
- Tap Receipt → Print receipt.
For a gift receipt (prices hidden): tap Orders, tap the order, tap Print gift receipt. The option only appears if a receipt printer is connected.
Always offer a gift receipt when someone says it's a present. It saves an argument at the return counter later.
If the line drops, POS can still take cash and manual payments through offline checkout — that works for everyone. Accepting card payments offline is a separate feature that has to be switched on in the Shopify admin beforehand. Confirm whether it's active for this store.
Offline, POS can't sync stock, email receipts, or look up live customer data. Keep the transaction simple, print the receipt, and let it sync once you're back online.
Putting a name to the sale
Adding the customer to the cart links the sale to their profile — purchase history, store credit, gift cards, and the ability to email their receipt. It also makes returns dramatically easier.
- From the cart or the smart grid, open the customer search.
- Search by name, email address or phone number.
- Tap the customer to attach them to the cart.
Search before you create. Duplicate profiles split someone's history and break their store credit.
- Search first to confirm they don't already exist.
- Tap to add a new customer.
- Capture first name, last name and email at minimum. Phone and address if they're happy to give them.
- Save, and the customer attaches to the current cart.
Ask, don't assume, about marketing consent. Only tick marketing preferences if they've actually said yes.
- Open the customer's profile in POS.
- View their gift card information — balance and expiry.
Money going back
This is the highest-risk thing you do at the counter. Slow down. Check the order. Check the item. If anything doesn't add up, get a manager.
The hard rule: you can only refund a payment method up to what the customer originally paid on it. Cash paid, cash back. Card paid, card back. Custom payment method paid, same method back.
Step 1 — start the return
- Tap the Orders icon.
- Find and tap the order. Search by order number, customer name or email.
- Tap Return or exchange.
- Tap
+or−to set the quantity of each item coming back. - Optional: Refund tip or Refund shipping if applicable.
- Tap Return reason and choose from the list. Confirm whether reasons are mandatory here.
- Add a note if there's anything worth recording — damage, a repeat return, a manager approval.
- Check Restock at this location. Leave it on for saleable stock. Turn it off for anything damaged or worn.
Step 2 — process the refund
- Tap Refund.
- Select the refund payment method.
- For a partial refund, tap Edit amount top-right and enter the amount.
- For Split refund, select the first method and its amount, tap Next, then the second method and its amount.
- Tap Next.
- Offer the receipt, then tap Done.
Refunded items go back into the stock of this location. Restocking a damaged item puts unsellable stock on the website.
If in-store returns are enabled on the Shop channel, customers who requested a return in the Shop app arrive with a QR code. Scan it in Shopify POS to pull up the return and process it. Confirm whether this is switched on for LIFT FIT.
An unverified return refunds without reference to an order. It needs the Create unverified returns permission and it's the easiest way for the store to lose money.
Do not process one without a manager. If you don't have the permission, don't promise the customer anything — say you need to check and fetch someone.

Swapping an item out
Exchanges run through the same Return or exchange flow as a refund. The trick that catches everyone: until you add the replacement item, the checkout button says Refund. That's normal. Add the new item and it becomes Checkout.
Wrong size is the most common exchange you'll do. Get quick at it.
- Tap the Orders icon.
- Tap the order.
- Tap Return or exchange, then select the item coming back.
- Optional: tap Return reason and pick one. Add a note if needed.
- Tap an item to open the action tray if you need to Remove it, turn off Restock at this location, or View order details.
- Tap Done to go back to the POS home screen.
- Scan or search for the replacement item and add it to the cart.
- Tap the item to change quantity, Change variant, or Add staff to sale.
- Tap the checkout button. It reads Checkout + amount owed if the customer owes money, or Refund + amount if you owe them.
- Complete the transaction and tap Done.
| Automatic discounts don't carry | They don't apply to exchange items. If the original was bought on an automatic promo, tap the item on the exchange summary and apply a manual discount to match. |

Everything after the sale
The Orders screen shows every LIFT FIT order — the ones you rang up and the ones placed on lift.fit. It's where you go for receipts, returns, outstanding payments and collections.
Search & filter orders
Find by order number, customer name, email or date. You'll see orders for your current location unless you have the Manage orders at all locations permission.
Order notes
Add, edit or remove a note on an order. Use it for anything the next person needs to know.
Outstanding payment
Take the balance on a partially paid or unpaid order straight from the order.
Saved & recent carts
Pick up a parked cart, or one a colleague saved for you.
Draft orders
For holds, special orders and quotes the customer will pay for later.
Pickup in store
Online orders collected at the counter — find the order, verify the customer, mark it collected.
Ship from store
Fulfil an online order out of the shop's stock when the warehouse is short.
Local delivery
Fulfil online orders being delivered locally from this location.
- Tap Orders and find the order — ask for the order number or the name on it.
- Confirm the customer's identity before handing anything over.
- Check the items against the order line by line.
- Mark the order as picked up / fulfilled in POS.
If an item is missing from the pick, don't hand over a partial order silently. Tell the customer what's happening and flag it to a manager.
"Do you have it in a medium?"
POS shows live stock for every LIFT FIT location, not just yours — so you can tell a customer whether another store or the warehouse has their size instead of losing the sale.
Staff can view inventory and product data for all locations regardless of which location their PIN is tied to. Orders are limited to your current location unless you have the Manage orders at all locations permission.
- Force a sync first — Connectivity → Data synchronization → Refresh all. Half of all "wrong stock" is a stale sync.
- If it's still wrong, count the physical stock and record the number.
- Report it to a manager with the product, variant and both numbers. Don't adjust inventory yourself unless you've been given that permission.
Guessing at stock corrections is how the website ends up selling things that don't exist. Report, don't improvise.
The drawer
A register session records every bit of cash movement in a shift — the opening float, cash added, cash removed, and the final count. Close it at the end of every shift or every trading day.
Do this when you can't make change, when the drawer is over the limit and needs a drop, or when cash is temporarily taken out.
- Tap the Register icon.
- Tap Open session — or View open session if one is already running.
- Tap Add cash or Remove cash.
- Enter the amount.
- If reason codes are switched on, select the reason.
- Tap Save.
Every adjustment shows in the session's cash activity. Cash that moves without being recorded becomes a discrepancy with your name on it.
If reason codes are active, opening the cash drawer prompts an Open drawer dialogue asking why. Pick the right one. If nothing fits, choose Other and write a proper note — "gave change for parking" is useful, "other" alone is not.
Current session: Register icon → View open session.
Past sessions: Register icon → Session history → tap the session. Tap Payment types for a breakdown, or Print for a paper copy.
Sessions are stored on the device that created them. A session opened on one iPad isn't visible on another.
Close of day
Close the session properly and tomorrow starts clean. Rush it and someone spends an hour hunting a R20 gap.
- Tap the Register icon.
- Tap Close session.
- Count the drawer by hand and enter the amount of cash in it. (The tap-to-count tool doesn't support rands — count and key it in.)
- Optional: add a note. Use it for anything that explains a variance.
- Tap the checkmark icon, then enter the float you're leaving in the drawer for tomorrow.
- Remove the cash above that float amount and bag it for banking.
- Review the Session complete screen. Cash counted and expected balance should match.
- Optional: add a final note.
- Tap Print for the cash detail and payment-type summary. Confirm whether LIFT FIT files a printed copy.
A closed session cannot be reopened or edited. Check your count before you confirm. If it doesn't balance, tell the manager on duty before you close, not after.
End of day checklist
Fix it at the counter
Never delete and reinstall Shopify POS. You lose saved carts, open register sessions and the app logs Shopify support needs to help. There is always a better option.
First — force a sync: Connectivity icon → Data synchronization → Refresh all.
Then — force-close the app:
- Swipe up from the bottom edge and pause in the centre (Face ID iPad), or double-press the Home button.
- Find Shopify POS and swipe up on it to quit.
- Tap Shopify POS to reopen.
Your saved carts and open session survive a force-close.
- Connectivity icon → Data synchronization.
- Check the status for Products & Inventory.
- Tap Refresh under it, or Refresh all.
- Still wrong? Check the app is fully up to date — ⋯ → Support → View device information.
- Check the reader is charged and switched on.
- Check Bluetooth is on for the iPad.
- Follow the on-screen connection prompts in POS.
- Restart the reader, then the POS app.
- As a last resort, use Manual card entry to key the card in, or take cash.
- Check whether other devices in the centre are also offline — it may be the whole building.
- Switch the iPad to cellular data if it has a SIM.
- Trade on offline checkout: cash and manual payments work for everyone. Offline card payments only work if that feature was activated in advance.
- Keep transactions simple and print receipts.
- Once you're back online, let POS finish syncing before you close the session.
- Tap ⋯ → Support.
- Tap View device information.
- If iPadOS needs updating, tap Download latest update and do that first.
- Then check for a Shopify POS update and install it.
The app must be updated at least every 180 days or you lose access to it. Don't run updates in the middle of a busy trading hour — do it at open or after close.
- Tap ⋯ → Support.
- Tap Report a bug.
- Describe what happened, what you expected, and what you'd already tried.
- Tap Send. This attaches the device logs.
- Then contact Shopify Support — they'll have the report waiting.
If checkout, admin or payments are failing across the board, check status.shopify.com before you spend twenty minutes restarting things. If Shopify is down, switch to offline checkout and tell the manager.
Non-negotiables
These aren't Shopify rules. They're LIFT FIT rules.
- Your PIN is yours alone. Never share it, never ring up on someone else's.
- Lock the screen every single time you leave the counter.
- Every refund needs the original order on screen. No order, no refund without a manager.
- Don't restock damaged or worn stock. Turn Restock at this location off and set the item aside.
- Count change out loud, into the customer's hand.
- Report a drawer variance before you close the session, not after.
- Discount only within the authority you've been given. Every discount is logged against you.
- If you're not sure — stop and ask. Nobody has ever been disciplined for checking.
Confirm Manager to complete: return window in days, proof-of-purchase policy, sale-item return policy, discount authority per role, banking and cash-drop procedure, and who approves unverified returns.
